Event Rules – Code of Conduct – Contest Rules
DURING THE EVENT
Participants must always wear the wristband.
It is mandatory to show the wristband at the entry of classes and parties.
According with local safety law it is forbidden to move furniture and equipment from the area
where they are placed to prevent obstruction of emergency exits and escape routes.
Do not place bags or suitcases near the emergency exits and do not climb on chair or on tables.

Organizer does not take any responsibility for participants’ valuables, assets and physical injuries.
There is a risk of physical injuries during dance activities. It is the participant’s responsibility and
decision to do any dance activity during the event.
Do your best to be careful – for yourself and for the others as well!
Participants must accept the decisions of the teachers and Organizer during the event and
especially during audition (if requested).
Participants (their image, voice) may appear in media (like photo, video, event DVD) the organizer
or representative will record during the event.
The Organizer can use these media for any purpose related to the event or other artistic purposes in any form.
Organizer keep lost & found properties for one week after the event has finished.
There is no refund in case some part of the program is not realized (for example a teacher is not
participating because of illness or cancelled flights).
Participants are not allowed to record or take photos of classes, unless the teacher permits it.
If a participant fails to comply with these rules, the organizer is entitled to withdraw the
participant’s pass and ask him/her to leave the event without refund of any fees.
Do not bring your own food and drinks into the ballroom. You have a very nice bar in the foyer just
close to the ballroom where you can find whatever you want (drinks and late night food). Check the
menu on the bar counter. Support Swing in Capital! Enjoy!
In respect of the other guests and events hosted in the Hotel Capannelle we ask you to be
quiet in shared areas like garden, bar, corridors, and rooms.
We have huge spaces for the event in the HOTEL structure.
Be aware that this year there is free Wi-Fi inside the hotel for all the hotel guests.
Please contact directly the hotel reception for access details.

Any inappropriate actions or harm caused by the participant to themselves or third parties will be the responsibility of the participant.
The organizers will be released from all liability and, in extreme cases, may terminate the participant’s participation with immediate effect for the whole duration of the event without refunding the pass.
Photos and videos will be taken during the event, so the participant fully authorizes the organizers to publish the material, even if it is depicted.
The participant must meet all the physical requirements of good health and robustness to ensure their physical health throughout the event.
During the event, please behave respectfully and follow these rules.
PAYMENT TERMS
Payment must be made within 14 days from the registration date; after this limit, the current pass rate
will be applied. PayPal and Bank Transfer fees are on your charge.
REFUND POLICY EVENT
If you cancel your chosen Pass within 15 days from the payment confirmation, you will receive a 90% refund. A 10% fee will be retained as an administrative fee.
After 15 days from the payment confirmation for the Pass, a 50% refund will be issued.
No refunds are provided after 30 days from the payment confirmation for the Pass.
The Pass is personal and non-transferable.
In case of cancellation, you may sell your Pass to a new participant, who will have to pay the difference between the purchased price and the price at the time of exchange.
In case of event cancellation due to force majeure, an 80% refund will be issued. A 20% fee will be retained as an administrative fee.
HOTEL CONDITION
After registering, you will receive two emails:
- One with a copy of this registration.
- And a second email with instructions on how to complete payment and register for the event. This email will also include a discount code for exclusive price room at Hotel Capannelle.
- The second email may arrive up to 48 hours after registration; please do not register again and check your spam folder.

- Reservations and payments for hotel rooms are arranged directly with Hotel Capannelle.
Any requests for refunds or reservation issues with Hotel Capannelle by a participant are between Hotel Capannelle and the participant, not the event or organizations of and for Swing in Capital.
RELEASE OF LIABILITY
- I assume full responsibility, civil and criminal, and compensation for any injuries or damage to
property, persons, and structures directly caused or attributable to my actions during the
institutional activity of the A.S.D. “W.C.S. Roma”. - By clicking “I accept” in the registration form, I declare to know and fully accept the rules of the A.S.D. W.C.S.Roma. I expressly declare, under my responsibility, of having undergone a medical examination and to have been resulted of healthy and robust constitution and to be capable for physical-sporting activities; so I release from all liability and promise not to sue the A.S.D. W.C.S.Roma from any and all claims, including claims resulting in any damages or injuries making physical-sportive activities during the event of A.S.D. “W.C.S.Roma”. I declare, furthermore, that I have not affections in place, especially cardiovascular disease, infections, and I don’t use narcotic substances. Finally, I declare A.S.D. W.C.S. Roma shall not be liable for any personal and/or bodily injury, sustained by me on myself or on others during the institutional activity of the A.S.D. “W.C.S.Roma”.
- A.S.D. “W.C.S.Roma”, Organizer, employees, volunteers, and their heirs shall not liable for any damages, personal and/or bodily injury, death included. This is accepted by me and includes my relatives or successors in title of beneficiaries concerned.
- Wave from now to make claims or compensation, I accept to exempt the A.S.D. “W.C.S.Roma” on this, assuming all responsibilities.
- I declare to have carefully read the full release form, I understood its terms with every point of this general release before accepting. I’m accepting it freely. I understand the legal consequences of approval this document, including (a) releasing the “W.C.S.Roma”, A.S.D. “W.C.S.Roma”, Organizer, employees, volunteers from all liability, (b) promising not to sue the A.S.D. “W.C.S.Roma”, Organizer, employees, volunteers, (c) and assuming all risks of participating in this event, including travel to, from and during the event.
Under Articles n° 1341-1342 of Civil Laws, I declare to approve specifically 1st, 2nd, 3rd, 4th
5th point of this form.
The UNDERSIGNED, hereby accepts all of terms of the full release, as evidence by my TO ACCEPTING THE EVENT RULES OF SWING IN CAPITAL 2026
